Everything in order.

Every file named your company's way, in the time it takes to drop it in.

Write down your naming convention once. After that, drop in the minutes, the board packet and the three contracts from last night's meeting, answer two or three questions, and get them back named exactly the way your company names things.

Example with made-up files

One name, part by part.

Minutes 3-9-26.pdf

Your parts, your order, your separator. ShipShape only fills in what your pattern asks for.

If it can't fill something in, it asks. It never guesses.

How it works

  1. Write down your convention

Start from a sample built on a real management company's layout, then change anything: the separator, the date format, the parts, the folders. A preview shows the result before you save.

  2. Drop your PDFs in

One file or two hundred. Pick the kind, and ShipShape fills in what it can, such as a date already in the file's name. You change anything it got wrong.

  3. Download them, named

One file comes back as itself, and many as a zip, in your folders if you like. Then move them to your shared drive, your board packet or your website.

  • Your convention, not ours. ShipShape renames files to the patterns you wrote. It never invents a name or reorders a part.
  • A whole meeting at once. Set the kind and the date for every file, fix the exceptions, and download one zip.
  • Folders too. Each pattern can name a folder, so the zip comes back already sorted.
  • A log of every rename. Old name, new name, who and when. Search it or download it. Names only, never the file.
  • Quiet unless it matters. Your team gets the emails it needs to sign in, and that's all.
  • Your data stays yours. Files are deleted within 24 hours, or 7 days if you ask, and nobody reads them. Download your log anytime.

Pricing questions

How does the free trial work?

30 days with everything included, no credit card. We email the owner 7 days and 1 day before it ends.

What happens when the trial ends?

If you don't pick a plan, the drop zone still names and downloads files, but nothing is logged and you can't change your convention. Your data is kept for 30 days, then deleted, and we email you 7 days before.

Can I add or remove people?

Anytime. Adding someone is charged right away for the rest of your billing period. Removing someone lowers your bill at the next renewal.

Can I switch between monthly and yearly?

Yes, anytime, from Settings.

How do I cancel?

The account owner cancels from Settings. Your plan runs to the end of the period you've paid for; there are no refunds.

How can I pay?

By card or bank payment, through Stripe. Invoices are in Settings.

Other questions

Is it only for management companies?

No. Management companies, managers working on their own, and self-managed associations can all sign up. A manager working alone is a team of one.

Does ShipShape keep my documents?

No. It holds a file only long enough to hand it back: 24 hours, or 7 days if you ask, then it's deleted. You can see a file while you name it, but nothing inside it is sent to ShipShape, kept, or used to name it. The log keeps names, never files.

Does it work with Word or Excel files?

Not directly. ShipShape takes PDFs only, so save the file as a PDF first.

Does it connect to my shared drive?

Not today. You download the named files and move them where they go.

Does it use AI?

No. A date or kind read from a file's name is plain pattern matching, and it's shown to you as a suggestion you can change.
